Features

Everything a shop does in a day, in one window.

This is the whole list, and it is the list in the trial too. Nothing below is an extra module, a paid add-on, or a screen that appears once you have signed something.

Real screens · dark theme · a made-up shop

paused

An empty counter. The search box is the scanner — a USB scanner types the code and presses Enter.

01The counter

Fast enough for a queue

The search box is the scanner. An exact barcode wins outright; a fuzzy match only adds itself when it is the single result, because billing the wrong item is worse than typing.

Barcode scanning

A USB scanner types the code and presses Enter. There is nothing to configure.

Held bills

Park a cart, serve the next customer, come back. No invoice number is spent, so nothing leaves a gap.

Keyboard first

F2 to the scanner, F3 holds, F4 charges, F9 opens held bills, Esc closes anything.

Split and part payment

Cash, card, UPI and credit on one bill, in any mix.

Discounts and coupons

Per line, per bill, or a code — spread proportionally so the tax matches what was actually charged.

Shifts and the drawer

Opening float to counted cash. It works out what the drawer should hold and records the variance.

Dine-in, takeaway, delivery

Tables, KOT to the kitchen, move and split covers, and a delivery run with tracking.

The phone as a scanner

Counter Link serves a page on the shop's own WiFi over HTTPS. A phone pairs once and scans into the open bill.

02Stock

Every unit can be explained

Stock never changes by assignment. Sales, refunds, deliveries and hand corrections all append to one ledger, so any figure on the shelf traces back to the movement that put it there.

Batches and expiry

A delivery makes a batch carrying its own cost and expiry date. Sales draw first-expired-first-out.

Weighted average cost

Ten at ₹40 and ten at ₹50 is stock worth ₹45 each — not the last price paid. A margin has to be measured against that.

Counting

A count sets what is on the shelf. The ledger entry is derived from the difference, never the other way round.

Bulk CSV

Import matches on SKU and never deletes. The whole file is validated before a single row is written.

Barcode labels

In-store EAN-13 from the GS1 20–29 range, three across on A4, drawn as vector so they scan.

Low stock and reorder

A filter that shows what to buy, with stock value at retail on the same screen.

Purchases

A delivery raises stock, writes the movement, and records what it cost you.

03Manufacturing

What you make, not just what you sell

Built on the same stock and billing engine a Counter licence already has, not a separate system bolted alongside it. A batch's real cost is known because the material that went into it is known, down to the lot.

Formulas

A versioned recipe — raw material and quantity per batch. Approving a new version never rewrites what an old batch actually used.

Production orders

Plan a batch at any size, see what's actually available before committing, and issue raw material first-expired-first-out.

Manufacturing batches

Actual consumption against the formula in both directions — a shortfall, a top-up, material returned unused — and the real yield a run produced.

Quality control

Pass/fail, a numeric range, or a text check, tied to the batch. One held at inspection cannot be packed until it is approved.

Packing BOM and orders

A separate packing recipe, so one bulk batch becomes several finished sizes — 100ml and 200ml off the same run — with packed, damaged, returned and lost units reconciled.

Finished goods and traceability

Every finished batch traces back to the exact raw lots used, and forward from any raw lot to everything it went into — at the cost each step actually was, frozen in place.

04The books

Accounting that was never a separate program

Two rules run through every report: revenue with no cost price is never counted as profit, and credit is not cash. Both are stated on the report rather than buried inside it.

Day book and cash book

What happened today, and what the drawer and the bank did about it.

Profit and loss

Real, because expenses, wages and standing costs are in it — not a gross margin wearing a hat.

Position

What you hold and what you are owed. Deliberately not called a balance sheet, because there is no double entry behind it.

Khata — customer credit

Credit leaves a balance instead of money in the drawer. Receipts settle the account, and both sides are records.

Credit and debit notes

Issued against a bill, and carried into the return.

Assets, depreciation, loans

The things a shop owns and owes, written down on a schedule.

Statements

A party's account, printable, from the first bill to the last receipt.

Tally export

For the accountant who would rather have it in the format they already use.

05GST

The right tax to the right government

How a sale is taxed depends on where the buyer is, and getting it wrong is not a rounding error. CalcyBill decides it per line, from the supply type, every time.

CGST + SGST, or IGST

Chosen from the buyer's state against yours — taken from settings, or the first two digits of your GSTIN.

Exports and SEZ

Zero-rated under LUT or bond, or IGST paid with the refund claimed. The bill states the LUT and the shipping bill.

Inclusive or exclusive

A printed MRP has the tax taken out of it; a trade price has it added on top. One cart can mix both, resolved per line.

HSN summary

By rate and by code, for the period, with a CSV your accountant can open.

E-invoice and e-way bill

IRP schema v1.1 payloads written to a file for the portal's bulk upload. The IRN that comes back is recorded, so nothing is filed twice.

Validated up front

Missing GSTIN, no HSN, no buyer address — reported all at once, before the portal rejects the upload.

Rounding that adds up

The odd paisa goes to SGST, so the two halves always sum back to the total.

Refunds handled whole

A reversed sale is excluded rather than negated, because the counter reverses a bill entire.

06People

Who did what, and what they are owed

Staff sign in with a PIN stored as a hash. What each of them can reach is set per person, and everything that matters leaves a trail.

PINs and abilities

Cashier, manager, admin — or a set of permissions assembled by hand.

Attendance

One row per person per day, so marking a day twice corrects it rather than doubling it.

Wages

A monthly salary divided by the days in the period being paid — not a flat thirty, which quietly underpays every February.

Audit trail

Voids, price overrides, stock corrections and refunds all name the person and the reason.

A bill is never deleted

It is cancelled, and it stays on record with its number. A till that can erase a bill can erase evidence.

Sessions

Who is on the counter now, and who was on it when that bill was rung.

07Safety

The shop's data belongs to the shop

It lives in a file on the shop's own machine, in %APPDATA%\CalcyBill\ — which is why replacing the program with a newer one does not touch a single bill.

Backup and restore

A restore replaces everything in one transaction and rolls back whole on any error. A half-restored database is worse than none.

Automatic backups

On a schedule, to a folder you choose, without anybody having to remember.

Self-diagnosis

“Check this counter” says what is wrong. “Save a report to send” writes a file to WhatsApp over — it holds no bills and no customer details.

The licence is checked on the machine

Ed25519-signed and verified locally. A till that needs a server to check its licence is a till that stops when the line goes down.

An expired licence never holds your data

It stops new bills. Reports and backup keep working, always. A shop must be able to get its own data out.

Printed the way you print

58mm and 80mm rolls or A4, invoice themes, and a UPI QR carrying the exact amount so nobody mistypes it.

61 trades

Same file. Different shop.

The trade is picked on the setup screen and can be changed later in Admin settings. It decides which extra records the business keeps — never which features it is allowed. Behind the 61 names sit 16 workflows, because a tyre shop, a battery shop and a laptop shop all keep the same things.

Trade not here? Tell us what it keeps — it goes into the next build, which every shop gets.

Thirty days. Nothing switched off.

Download it, put your own items in, bill a real day with it. Nothing is crippled in the trial and there is no card to enter — if it does not suit the shop, you have lost an evening.
